09Events

Events that give branches ideas.

Kerala flagships set the bar, and documented events from Student Branches and Society chapters show formats you can adapt.

IEEE LINK flagship

IEEE YESS

The Yearly Engineering Students Summit, which grew out of the All Kerala Student Congress, brings branches from across the state together each year.

Regional

Hub meets

Kochi, Malabar, and Travancore hub meets connect neighbouring branches for planning, training, and shared events.

Every October

IEEE Day

Members worldwide celebrate the first IEEE meeting with local events, membership drives, and photo and video contests.

Field notes from IEEE communities

These are inspiration picks, not an official IEEE ranking. Selection is based on public documentation, distinctive formats, repeatability, or reported participation. Confirm details with the organizers before reusing a format.

10Build your branch

A stronger branch is built one habit at a time.

Build a repeatable member experience, not a calendar full of disconnected events. Each activity should help someone feel welcome, learn something, contribute, or take the next step.

  1. Welcome

Make joining and attending a first event feel clear. Introduce a real person, a small role, and a next date.

    01
  2. Create value

Co-design technical, career, and community activities around what members say they need.

    02
  3. Grow leaders

Give members ownership in small, supported steps. Let new volunteers lead a piece before leading a whole event.

    03
  4. Hand over well

Keep a shared activity log, budget notes, templates, and introductions so knowledge survives an election.

Plan the next 90 days

Choose a small number of useful actions. Put an owner and a date beside each one, then review what changed for members.

Days 01–15

Listen and map

Ask current and prospective members what would make the branch worth their time. Review your member journey and current reporting status.

  • Pick one audience to reach
  • Assign one owner per action
Days 16–30

Make a clear invitation

Run a short introduction or membership clinic with a specific next step and a real follow-up date.

  • Explain benefits without overpromising
  • Invite people into a small role
Days 31–60

Deliver member value

Offer a hands-on technical, professional, or humanitarian activity with room for members to contribute.

  • Use a feedback question
  • Report the activity in vTools
Days 61–90

Keep the loop going

Share outcomes, recognize contributors, ask who wants to lead next, and record what the next committee needs.

  • Follow up with first-time attendees
  • Set the next 90-day review

Keep your branch in good standing

Use the official reporting rules as a baseline. Ask your counselor and the Kerala Section about local support, current deadlines, and the right vTools workflow. Official reporting guidance.

01
Keep the officer roster current

Update IEEE Officer Reporting when the executive committee or counselor changes.

02
Submit the annual plan

Plan activities and budget with the counselor and treasurer. The official page lists 1 February for the upcoming-year plan.

03
Report activities and maintain good standing

The official guidance lists at least 12 student or graduate student members, four reported meetings per year, and an updated roster.

04
Check the annual rebate rules

The IEEE Students page lists a US$50 allotment under 50 members or US$100 at 50 or more, plus US$2 per student or graduate student member.
